What exactly does workflow mean in software terms?

In essence, workflow is when the software automatically conducts a sequence of tasks that would typically be managed by a person.

In essence, the system can either fully or partially automate processes such as:

• Document approval
• Yearly reviews
• Probationary period meetings
• Data chasing
• And more

So, for example, rather than a manager chasing a new starter because they have yet to provide the required information, the software will instead automatically and continually send reminders.
