Problem
When producing the end of year CSV file for uploading to SPPA the software will prompt you if your practice reference number is less than 15 characters.
Resolution
While the practice reference number does need to be 15 characters, the details in the on-screen message are not quite correct.
If the Practice Reference Number is less than 15 characters you need to add in zeros to make it up to 15, however, the zeroes should be placed after the existing reference number. So, for example, GP123456 should be entered as GP1234560000000.
This option can be altered in “Setup/Option” > “4-Practice Pension Details“:
Insert the necessary zeros after your existing reference number to make it up to 15 characters in total:
Once this is complete you will be able to create the SPPA CSV file for upload.
If you have already uploaded your CSV file with the wrong number format.
If you have uploaded your CSV file to SPPA with the reference number in the wrong format eg GP0000000123456, correct the reference number as above, regenerate your CSV file and upload to SPPA again.
Once the reference number is corrected go to “End of Year” > “Step 4 – Produce End-ofYear Pension statements“
Select “Prepare a file in CSV format for submission to SPPA” and create the file again. Upload this new file to SPPA to complete the process.
