Sending a Self Assessment Tax Return online using PTP Tax Platform

Resolution

Step One – Entering the User ID and Password

  1. Log on to the PTP Tax Platform.
  2. Click the Spanner icon located on the tool bar to access the Tax Office and Firm Details Maintenance screen then select the FBI tab.
  3. Complete the User ID and Password fields. Enter the Contact Name and select the Sender type and set the Transmission Mode to Live Mode.

    The Test Mode should only be used when setting up the system, this mode allows a test submission to be made which will ensure that HMRC can receive files from PTP Tax Platform and that the information sent back in response can be read via PTP.
  4. Click the Cross icon located in the top-right corner to close the screen.

Step Two – Generating and Submitting the Electronic Tax Return

There are two methods of doing this, a quick method of filing one particular return on its own and a longer method when multiple returns could be submitted together if required.

Method 1

  1. Open PTP Tax Platform
  2. Select the required client and click on the Client Tax Returns tab
  3. Highlight the relevant tax return
  4. Select the Print FBI Tax Return button at the bottom to access the FBI Attachments screen

    If Capital Gains supplementary pages are being submitted the capital gains schedules are automatically attached to the Electronic Tax Return provided the Supporting Schedules option is ticked. Alternatively, add a pdf schedule using the Add CGT Attachments button.

    Additional files can be submitted along with the Tax Return by selecting the Add Attachments option. Any additional files must be in PDF format.
  5. Click the OK button to proceed.
  6. Enable the required options within the Print FBI Returns screen, then click OK to continue.
  7. Click the Submit FBI Tax Return button to proceed as this will now be enabled.
  8. Enter the date the client signed the Tax Return, then click Update Client to continue.
  9. Click the Submit Returns by FBI option, select Local Area Network (LAN) and click Connect.
    This is the point at which the Tax Return is actually submitted to HMRC.
  10. Wait for the HMRC gateway countdown to see if the return has been accepted or rejected.

Method 2

  1. Open PTP Tax Platform.
  2. Click FBI located on the tool bar to access the FBI Status screen.
  3. Set the Year of Submission to the required tax year.  By default the current year will be shown.
  4. Select the Send box located to the left of the required client to access the FBI attachments screen.

    If Capital Gains supplementary pages are being submitted the capital gains schedules are automatically attached to the Electronic Tax Return provided the Supporting Schedules option is ticked. Alternatively, add a pdf schedule using the Add CGT Attachments button.

    Click OK to continue.
  5. Within the FBI Status screen, click Prepare FBI Files. The Tax Return will then be validated to ensure it complies with HMRC guidelines prior to submission.
  6. Set the FBI Status to FBI Files prepared awaiting Returns to be printed using the drop-down selection. Click the client’s name, then select the Print Returns option.
  7. Enable the required options within the Print FBI Returns screen then click OK to continue.
  8. Set the FBI Status to Returns sent to client for signing and enter the date the client signed the Tax Return, then click Update Client to continue.
  9. Set the FBI Status to Returns signed by client awaiting submission and click Submit Returns by FBI.
  10. Select the Local Area Network (LAN) option then click Connect

    This is the point at which the Tax Return is actually submitted to HMRC.
  11. Set the FBI Status to Returns transmitted awaiting Revenue acceptance and click the Collect Responses option.
  12. Select the Local Area Network (LAN) option and click Connect.

    The Tax Return will display below one of the remaining two FBI status options:

    Returns accepted by Revenue – This status indicates that the submission was successful.

    Returns rejected by Revenue – This status indicates that the Tax Return was rejected by HMRC, a 4 digit rejection error and description will be supplied to provide details of cause of the rejection message.
