Create a Charity Client Record in Practice Manager
Open Practice Manager. Existing client records already set up as, for example, ‘Company limited by guarantee’ or ‘Other’ can be converted to the new charity type. Please note that if you switch an existing client record to the new charity type, any jobs that have been applied to the record may no longer be appropriate, if this is the case the job should be removed.
To switch record type log in to Practice Manager as Administrator, locate the client record in the main client grid and click once to highlight it in the grid (do not open the record). Click Change Type on the main toolbar and select the type of record to convert to, click OK.
To create a new client record, click Add on the toolbar in the main client grid, select Charity and choose either incorporated, unincorporated or charitable trust (the only difference between charitable trust and an unincorporated charity is the link to the Tax module; charitable trust type will add a SA900 tax return).
Enter the client details, click the Trustees tab and click Add. Select the trustee from the existing list of clients, or click Create New Officer to add a new trustee record. Once you added the trustees click the Jobs and add an Accounts Production job; this will add an appropriate charity type record to Accounts Production. If the charity is incorporated and you have activated Company Secretarial functionality add a Company Secretarial job, this will give you the ability to file the annual return at Companies House.
Charity records can also be added directly to Accounts Production, which will create an appropriate client record in Practice Manager if required.
